Excel report

The Excel report shows the results of one questionnaire formatted like the questionnaire itself: a selected result is displayed as a filled-in form, and can be exported to Excel. The layout of the report is defined in the survey creator by setting Report properties on the questions and panels. This tutorial explains how to define the layout, create and save a report, and view and export it.

Note: an Excel report is for a single questionnaire. To combine data from multiple questionnaires, use the Aggregated reports or the Analytics designer.

Step 1: Define the report layout in the survey creator

Each question has a Report section in its properties. These settings decide whether the question appears in the report and how it looks.

Show in report Uncheck to exclude the question from the report. Use this for hidden or internal questions.
Show title Where the question title is shown: Top (a row above the value), Left (a cell to the left of the value) or Not (no title).
Column in report The column where the question is placed, starting at 0 for the first column. Use this to put two questions side by side, for example a title in column 0 and a value in column 1.
Column span How many columns the cell spans. The cell is merged over the given columns.
Background color, font color, font size Styling of the question cells in the report.
Matrix rows in report For matrix and multiple value questions: each value on its own row (1) or the values spread over columns (0).

Panels have their own report settings:

New tab A top level panel with New tab checked becomes a separate tab inside the report, named after the panel title. Use this to split a long questionnaire into sections.
Questions in row The questions inside the panel are placed on one row instead of one under the other.
Report header The panel gets a header row with its title.

Step 2: Open the report data

1. Open Reports Open the Reports page and stay on the Excel report tab.
2. Select questionnaire Choose the questionnaire. The grid loads all submitted results of that questionnaire, one row per result, together with the registration fields.
3. Adjust the grid Use sorting, filtering, grouping and column hiding in the grid to show only the data you need. This grid state can be saved with the report.

Step 3: Save the report (optional)

A saved report remembers the questionnaire and the grid layout so it can be opened again or shared with other users. Click the save icon in the toolbar.

Report name The name under which the report is saved and shown in the report list.
Role The report is visible for users with this role.
Management report When checked the report is only visible to administrators, data managers and survey designers, regardless of the role.

Step 4: View the report

1. Select a result Click a row in the data grid to select one result.
2. Click View report The selected result is shown as a filled-in form, laid out with the Report settings from the survey creator. Panels marked New tab become separate tabs inside the report.
3. Export to Excel Use the Export to Excel button in the report toolbar to download the report.

Open a saved report

Use the Select report dropdown to open a saved report. The questionnaire and its saved grid layout are loaded; then select the result you want and click View report. You can only see reports that match your role; management reports are visible to administrators, data managers and survey designers only.
