Word reports

A Word report generates a Word document for a questionnaire result. You design the report layout yourself in Microsoft Word: title blocks, sections and tables, and you place a placeholder with the question name where the data should appear. You upload the Word file as a template under Tools. When the report is generated, the placeholders are replaced by the answers of the selected result and the document is downloaded.

Note: a Word report is for a single questionnaire. To combine data from multiple questionnaires, use the Aggregated reports or Analytics designer.

Step 1: Create the Word template

In Microsoft Word, write the report the way it should look, for example a daily site report with sections for weather, labour, safety and sign-off. Where a question value should appear, type a placeholder.

{Question name} The value of a question, using the question name (not the title), for example {Site supervisor} or {Weather conditions}.
{%Image question|maxSize:width:height} A photo or signature resized to the given maximum width and height in pixels, for example {%Unsafe condition photo|maxSize:200:200} or {%Signature|maxSize:100:100}.
{#valueName} ... {/valueName} A repeating block for a matrix dynamic or panel dynamic. The tag name is the valueName of the question. Everything between the opening and closing tag is repeated once per row, and the columns and panel questions inside are referenced by their names.
Example {#activitiesListing}{Activity}  {Work completed}  {%ProgressImageOne|maxSize:200:200}{/activitiesListing} produces one row per activity with its text and photo.

Dropdown values are shown as text, and questions connected to a registration or dropdown table show the table text, not the stored id.

Step 2: Upload the template under Tools

Open Tools > Upload word reports. Drag and drop the Word file on the upload area, or use Select file. Only Word documents (.doc and .docx) up to 10MB are accepted.

Report name The name under which the report is listed, prefilled with the file name.
Description Optional description shown in the report list.
Questionnaire The questionnaire this template belongs to. Its questions can be used as placeholders.

Click Upload Report. Uploaded templates appear in the saved reports list at the bottom of the page, where they can also be deleted.

Step 3: Generate the report

1. Open Reports > Word reports Select the uploaded report in the Select report dropdown. The grid loads all results of the questionnaire the template belongs to.
2. Select a result Click a row in the data grid to select one result.
3. Click View report The placeholders in the template are replaced by the answers of the selected result and the Word file is downloaded to your computer.

Save the grid layout (optional)

After filtering or rearranging the data grid, use the Save grid button in the toolbar to store that layout on the report. The next time you open the report the grid is restored the same way.
